How do I create my account?

Go to oromiq.com/signup. Enter your details and your company name, confirm your email with the 6-digit code we send you, then build your plan: the Core seat plus any packs or add-ons you want. Every new account starts with a 14-day free trial. Stripe asks for your card at checkout, but you are not charged until the trial ends, and you pay nothing if you cancel before then. If you have a voucher code, enter it on the plan step or at oromiq.com/redeem. When you first sign in, a short setup asks about your industry and role and creates a starter pipeline and lists to match. You can change any of it later in Settings.

What is OroMiQ?

OroMiQ is an intelligence-based CRM. At its core you manage companies, contacts, your pipeline, calls, email, sequences and follow-ups, with dashboards and reporting, plus packs for quotes, invoices, contracts and delivery when you need them. You can also switch on optional data layers, free on every plan, that enrich your companies with public data such as Companies House, The Gazette, Energy Performance Certificates, food hygiene ratings and CQC. Start with the CRM and switch on a data layer whenever it helps.

How do I add companies and build my pipeline?

In the sidebar open CRM, then Companies, and click Add Company. Only the company name is required, and you can put it straight onto a pipeline stage from the same dialog. To bring in a list, use Settings, then Data management (see Importing and exporting your data). To work a company as a deal, open Sales, then Pipeline, and drag it through your stages, logging calls and emails and scheduling follow-ups as you go. All of this works with no data layers switched on.

How do I import or export my data?

Go to Settings, then Data management. On the Import tab, upload a CSV file of companies, contacts or products and follow the steps. On the Export tab, click Download CSV for companies, contacts or products. Your organisation can download up to 5,000 rows a day from the Export tab. If a download would go past that, you get the rows that fit and a warning that the file is incomplete, and once the limit is used up, downloads stop until it resets at midnight UTC. You can also export any list or report from its tab menu in Workspaces, and Align assessment reports download as PDFs from the assessment itself.

Where is my dashboard?

When you sign in you land in Workspaces, where your lists, pipeline boards, dashboards and reports sit side by side as tabs. New accounts start with a Home dashboard showing your pipeline summary, your Action Queue and recent activity. To change what a dashboard shows, open the tab menu, choose Edit, then Widgets, and tick and drag the widgets you want. To add another list, board, dashboard or report, click the + at the end of the tab strip and choose New workspace. Widgets from any data layer you switch on appear in the same list.

How do I invite team members?

Accepted Answer

Go to Settings, then Users & roles. On the Users tab, click Invite user, enter their email address and choose a built-in role such as Manager, Power User or Read Only. You can move them to a custom role once they have joined. They receive an email with a link to set up their account, and the invitation expires after 7 days. Each person uses a seat, so if you have none spare, add one first from Settings, then Subscription & billing.

How do I find my way around OroMiQ?

The left sidebar is your main navigation. Workspaces sits at the top. Below it are CRM (Companies, Contacts, Activity, Email, Calendar, Portfolio Manager), Documents, Sales (Pipeline, Opportunities, Consultations, Telesales), Finance, Delivery and Marketing. Then come Action Queue, which opens your follow-ups in a panel, Intelligence, where you browse data layers and subscribe to changes, Add-ons and Settings. A padlock means that feature is not in your plan yet. Press Ctrl+K, or Cmd+K on a Mac, to search for a company, a person or a page from anywhere.

What are data layers and how do I switch one on?

Data layers are optional add-ons that enrich your companies with public data. There are nine, all free on every plan: Companies House, The Gazette, Energy Performance (EPC), Data Protection (ICO), Business Rates (VOA), Gender Pay Gap, Food Hygiene Ratings, CQC and Care Inspectorate (Scotland). Someone with the Admin or Manager role clicks Add-ons in the sidebar, opens a layer's card and turns on the switch in the dialog. OroMiQ applies the change and refreshes. The layer then adds a section to your company records, where you link each company to its official record, plus filters in Workspaces and a tab in Intelligence. Your CRM works fully without any of them.

How do I get told when something changes in a data layer?

Open Intelligence. A subscription watches a data layer for the changes you care about, filtered by criteria such as area, rating or type, and for some layers a distance from a postcode. Matches arrive in the Intelligence inbox, where you work through them and mark the ones you are not interested in. To follow a single record, open it and choose Watch this: a watch is free and never uses a subscription slot. Every plan includes 10 subscriptions, and account admins can buy more in blocks of five from the Intelligence page.

What is the difference between Watchlist and Portfolio?

Every company you track sits on one of two tiers. Watchlist is for companies you are interested in, such as prospects or competitors. Portfolio is for your clients. New companies start on the Watchlist. Use the menu on a company to Promote to Portfolio or Move to Watchlist, or change tiers in bulk from CRM, then Portfolio Manager. These tiers are part of the CRM and work with or without a data layer.

What does the CQC data layer add?

With the CQC layer switched on, open Intelligence and choose the CQC directory tab. Search for a location by name, or filter by postcode or region, and click Add to Watchlist. The location becomes a company in your CRM, linked to its CQC record, so its ratings, inspection history and registered manager show on the company page. You can also add the CQC Portfolio Dashboard or CQC Sector Dashboard as Workspace tabs. Drill down, the history timeline and recent changes are all included in the free layer.

How do CQC market insights and benchmarking work?

Add the CQC Sector Dashboard, or individual market widgets, to a Workspace for sector analytics such as rating distribution, inspection gaps, domain weaknesses and manager vacancies by area, filtered by region and service type. Click a figure to drill down to the locations behind it. The Sector Comparison widget compares your locations with the national picture, and each location's Benchmark section compares it with its region and local authority. Market figures are recalculated overnight.

How do I see recent CQC changes and a location's history?

Open Intelligence and choose the CQC recent changes tab to see what has changed across the CQC locations you track: rating changes, new assessments, manager changes, and registration, address and contact updates. Filter by change type and by the last 24 hours, 7, 30 or 90 days. To follow changes across the wider register, such as new registrations or rating changes in an area, create an Intelligence subscription. On a location's history timeline you can select any past point to see its ratings, registered manager and benchmarks as they were then.

What risk and confidence indicators does the CQC layer give me?

The Market Confidence Index widget gives an overall reading for the sector, based on how recently services were inspected, how stable their ratings are and how well they recover from poor ratings. Momentum and Volatility views show which locations are improving, declining or changing often, and you can switch on Regression Risk and Inspection Due alerts for the locations you track. These are data-driven indicators, not predictions of an inspection outcome.

What does manager intelligence show?

Each CQC-linked location has a Manager section showing its registered manager, average tenure and how much of the time the post has been filled. Manager changes and vacancies appear on the history timeline. For the wider market, the Leadership Stability vs Rating widget shows how manager stability relates to ratings, and Manager Vacancies by Area maps current vacancies by region.

What is Align?

Align is OroMiQ's structured assessment tool. You capture findings against a framework, score each question, record your evidence, then generate a report with confidence scoring and an action plan. Build frameworks from Align, then Frameworks: generate one, start from the library, or edit your own. Align is a paid add-on for your organisation. An admin adds it from Settings, then Subscription & billing, then gives each person Align access (Viewer, Editor or Admin) in the team list under Settings, then Organisation.

How do I create an assessment in Align?

Go to Align, then Assessments, and click New Assessment. Search for the location from your Portfolio companies (the provider fills in automatically), then choose the framework, the assessor, whether it is on site or remote, and the planned date. Click Create Assessment and it appears with the status Assigned. Click Start Assessment to begin. Answers save as you go, so you can leave and come back at any time. Only team members with an auditor experience level set under Align, then Team, can be assigned.

How does scoring and confidence work in Align?

Score each question using the answer type the framework sets, such as a rating, yes or no, or a percentage, and add your evidence notes. Once the report is generated, OroMiQ calculates a confidence score for the whole assessment and for each domain. It takes into account the assessment type, the assessor's experience, the quality of the evidence and any limitations you record, and shows best, likely and worst case outcomes. Use Recalculate Confidence after changing your inputs.

How do I generate an Align report?

When scoring is done and the assessment is in review, write the Introduction and Methodology, then choose Generate Report from the status menu. While it is in review you can preview the PDF and the action plan, and use Regenerate Report after changing scores. Choose Complete Assessment to finalise it.

How do I share an assessment report?

Once an assessment is complete, use Download PDF and Download Action Plan to save both, then send them to your client or board, or file them against the company in Documents.

How does the free trial work?

Accepted Answer

Every new account starts with a 14-day free trial of the plan you choose at signup, including any packs or add-ons. Stripe takes your card at checkout, and your first payment is taken when the trial ends. To stop before then, go to Settings, then Subscription & billing, and click Cancel Subscription: your account runs to the end of the trial and you are not charged. A voucher code can give you a longer trial or a discount.

How do I manage my subscription?

Account admins can go to Settings, then Subscription & billing. There you can see your plan, status, next invoice date and active packs and add-ons, add or remove packs and add-ons, buy or reduce seats, view invoices, update your payment method and cancel. Prices are monthly and include VAT at 20%.

How do packs and add-ons work?

Accepted Answer

OroMiQ has one plan, billed per user each month. On top of it you can add the Finance, Sales, Marketing and Telesales packs and paid add-ons such as Align, Web Forms, E-signature and Secure Rooms, from Settings, then Subscription & billing. Adding one starts straight away with a pro-rated charge. A pack or add-on you add or change to after signup has a 28-day minimum before it can be removed. Removing one stops it straight away, and the unused part of the billing period is credited to your next invoice. E-signature and Secure Rooms come in tiers, and you hold one tier of each. E-signature tiers give the Sales Pack more envelopes, raising its 5 a month to 15, 30, 75 or 150, so add the Sales Pack first, and remove the tier before you remove the Sales Pack. To move from the Finance Pack to the Sales Pack, or to another tier, change it in one step: the new one replaces the old straight away, and your next invoice charges or credits the difference. Moving up works at any time. Moving down, including from the Sales Pack to the Finance Pack, waits until any 28-day minimum on the one you hold is over. Data layers are free and are switched on from Add-ons instead. If you reach an allowance such as storage, email sends or intelligence subscriptions, we pause that feature and ask before you buy more: we never bill you automatically.

Question 24

How do I add or remove user seats?

Accepted Answer

Go to Settings, then Subscription & billing, and click Buy More Seats. The charge is pro-rated for the rest of the billing period, and packs that are priced per user move with your seat count. You need a free seat before you can invite someone. To remove seats, click Reduce Seats: they are removed straight away and your next invoice is charged for the lower number. You cannot go below your number of active users, so deactivate users first if needed.

Where can I see my invoices?

Go to Settings, then Subscription & billing. The Invoice History section lists each invoice's date, description, amount and status, with a PDF button to download it. To update your card or download receipts, click Update Payment Method or Manage in Stripe Portal.

Question 26

How do I cancel my subscription?

Accepted Answer

Go to Settings, then Subscription & billing, and click Cancel Subscription. You keep full access until the end of your billing period, or the end of your free trial if you are still on it, in which case you are not charged. You can click Reactivate before then to change your mind. After that your account becomes read-only, and your data is kept for 90 days in case you come back. To take a copy first, export it from Settings, then Data management.

Question 27

I can't sign in. What should I do?

Accepted Answer

Sign in from oromiq.com/login. If you have forgotten your password, click Forgot password? and we will email you a reset link. If you use two-factor authentication and have lost your authenticator, use one of the recovery codes you saved when you set it up, or sign in with a passkey if you added one. If none of those work, contact support. If an administrator has deactivated your account, you will see a message saying your account is disabled; ask them to reactivate it.

Why is my data not showing or out of date?

Accepted Answer

Your own CRM records update straight away, so if one does not look right, refresh the page. Data layers refresh on their own schedules: CQC changes are usually picked up within the hour of CQC publishing them, other layers update daily, weekly or monthly depending on the source, and market-wide dashboard figures are recalculated overnight. Enrichment only appears once a company is linked to its record in that layer. If something still looks wrong after 24 hours, contact support and tell us which record or widget you are looking at.

Why is a company missing from my list?

Open CRM, then Companies, and search for it by name. Check your filters and the Unrouted enquiries tab too. If it is a record from a data layer, such as a CQC location, make sure that layer is switched on, then find the record in Intelligence and add it as a company. If it still does not appear, contact support with the company name or record ID.

Question 30

What happens if my subscription payment fails?

Accepted Answer

If a payment fails, we email your account administrator. Go to Settings, then Subscription & billing, and click Update Payment Method to change your card. Stripe retries the payment automatically, and you keep full access while it does. If the payment keeps failing and your subscription lapses, your account becomes read-only: you can still see your data but cannot make changes until payment is sorted.

How do I change my email address?

Accepted Answer

You cannot change your own sign-in email. For security, contact support from your current email address, or ask your organisation's administrator to, and include your current email, the new one and your organisation name. We will verify the change and update it for you.
